      Add a Corrective Action Record

      Corrective action items can also be added via various sub-modules throughout the program, and a corresponding record will appear in this sub-module and on the ‘Actions’ tab of the related sub-module record window.

      1. Click ‘Add’ at the bottom of the ‘Corrective Actions’ browse screen.
      2. A blank ‘Corrective Action Item’ record will appear. Fill in the appropriate fields.
      3. To include the item in future safety meeting minutes, click the ‘Record in Safety Minutes’ checkbox and fill in the ‘Date Added to Meeting Minutes’ field.
      4. To auto-notify the person that the corrective action has been issued to, click the ‘Email’ checkbox beside the ‘Issued To’ field. When the record is saved, a ‘New Corrective Action’ email will be sent to the employee. The employee must have an email address entered in the system to receive corrective action emails.
      5. Click ‘Save’ when complete.
      6. If email notifications are enabled for new corrective action records in the Setup > Setup sub-module, an hourglass will appear when ‘Save’ is clicked, to indicate that a notification of the new corrective action record has been emailed to concerned parties.
      7. Once all aspects of the corrective action are complete, open the record and click in the ‘Complete’ checkbox. The ‘Date Completed’ field will automatically populate.

    • Edit a Corrective Action Item

      Edit a Corrective Action Record

      1. Double-click on the appropriate record, or select it and click ‘Edit’.
      2. The ‘Corrective Action Item’ record window will appear. Make the appropriate changes.
      3. The record edit window includes the ‘Related Items’ field, which refers to any records that the corrective action item is associated with, including damages, injuries, inspections and toolbox meetings.
      4. To view the related record: double-click to open the record from the ‘Related Items’ field. The appropriate record window will open. Make any necessary changes and click ‘Save’ to return to the ‘Corrective Actions’ record window.
      5. To print the related record: click the ‘Printer’ icon beside the ‘Related Items’ field. A print preview will appear. Print as appropriate.
      6. To include the action item in future safety meeting minutes, click the ‘Record in Safety Minutes’ checkbox and fill in the ‘Date Added to Meeting Minutes’ field.
      7. Fill in the ‘Don’t Display in Minutes After’ field to establish a date on which to stop including the corrective action item in safety meeting minutes.
      8. Click ‘Save’ when complete.

    • Printing and Emailing Corrective Action Items

      Print an Individual Corrective Action Record

      1. Open the appropriate record.
      2. Click the ‘Printer’ icon on the bottom of the ‘Corrective Action Item’ window.
      3. A print preview window will appear. Double-check the information.
      4. Click the ‘Print’ icon on the ‘Print Options’ toolbar. If the ‘Print Options’ toolbar is not visible on the print preview screen, right-click on the report to view the print options menu.

      Print a Work Order

      1. Open the appropriate record.
      2. Select ‘Work Order’ from the ‘Reports’ drop-down menu then click the ‘Printer’ icon on the bottom of the ‘Corrective Action Item’ record window.
      3. A print preview window will appear. Double-check the information.
      4. Click the ‘Print’ icon on the ‘Print Options’ toolbar. If the ‘Print Options’ toolbar is not visible on the print preview screen, right-click on the report to view the print options menu.

      Print a Company Corrective Action Report

      1. Choose a filter, if applicable.
      2. Choose from the ‘Reports’ drop-down menu on the browse screen: Print a report for all records or for the selected record Print a list of action items ‘Issued for a given month/year’, a list of ‘Actions closed out on time’ or a list of ‘Actions closed out late.’ Print a report according to: the person that the item was “assigned to”: a specific region, site, company or project; or by ‘priority’ or ‘status’ (defined on the ‘Action Item’ record window).
      3. A print preview window will appear. Double-check the information.
      4. Click the ‘Print’ icon on the ‘Print Options’ toolbar. If the ‘Print Options’ toolbar is not visible on the print preview screen, right-click on the report to view the print options menu.

      E-mail a Corrective Action Record

      1. Open the appropriate record.
      2. Click the 'E-mail' icon.
      3. In the ‘To’, ‘CC’ and ‘BCC’ fields, choose the appropriate recipient(s) from the drop-down list, or type the address(es) into the field. Use the ‘BCC’ option if you have multiple recipients and you wish to maintain privacy.
      4. In the ‘Subject’ and 'Message' fields, some information that has been entered into Simply Safety will automatically appear. Modify the ‘Subject’ field as required.
      5. To edit the ‘Message’ field, close the ‘Send E-mail’ window and modify the appropriate fields on the record window.
      6. Add any relevant ‘Comments’ to the appropriate field.
      7. In the ‘Sender’ field, choose from the drop-down list, or type a name into the field.
      8. Click ‘Send’. Simply Safety! will advise when the message has been sent successfully.

    • Scheduling Corrective Actions

      Schedule a Corrective Action

      Corrective Action items can be scheduled to be repeated at specific intervals (weekly, monthly, quarterly or annually).

      Each scheduled action will appear as a separate instance on the ‘Corrective Actions’ browse screen, as specified by the information inputted in the ‘Date to begin’, ‘Times to repeat’ and ‘How often this should be done’ fields.

      For example, an action schedule is set to start today and repeat 12 times on a monthly basis, 12 action items will be added to the ‘Corrective Actions’ browse list, one per month on today’s date.

       

      To schedule an action item:

      1. Click the ‘Scheduler’ button on the bottom of the ‘Corrective Actions’ browse screen.
      2. The ‘Work Scheduler’ window will appear. Fill in the various fields.
      3. To schedule the action item to repeat at a certain interval, enter a number of ‘Times to repeat’ and select the appropriate ‘How often should this be done?’ radio button (‘Weekly’, ‘Monthly’, ‘Quarterly’ or ‘Yearly’) to designate the intervals that the action item should be repeated.
      4. Click ‘Save’ when complete.
      5. A prompt will appear, asking if you want to install these actions. Click ‘Yes’, and the new corrective action items will appear on the ‘Corrective Actions’ browse screen.
      6. A record will appear for each instance of the scheduled action item. If the item is set to repeat monthly for one year, then twelve related records will be created and reflected on the browse list.
